Closing a collaboration: the summary and reopening

When a deal is Paid (or Closed lost) it becomes a read-only record with a summary: dates, money, deliverables, approvals, contract, invoices and agents, with a PDF to download. Nothing on it can change unless the workspace owner or an admin reopens it with a reason.

draft

A collaboration is finished when its deal reaches Paid (completed) or Closed lost (closed without money: the brand dropped out or it was cancelled). From then on the deal is a record. You get a summary of everything that happened, and nothing on the deal can change, so your Earnings and the deal's History stay in order.

The summary

A closed deal opens on its Summary tab. The card at the top says how it ended (Completed, or closed without payment) with the agreed amount, what was paid and when.

The summary shows:

  • Brand and contact, plus the usage rights and exclusivity you agreed.
  • Dates: first contact, agreed, contracted, delivered, paid and closed, with how many days each step took.
  • Money: agreed, invoiced and paid, in the deal's currency. Invoices in another currency are listed but not added up.
  • Deliverables: each one with its platform, the published link and the brand's approval (which version they approved, and when).
  • Contract and brief: the contract signed by both parties (dates and the file), or the note that you continued without one; the brief version you worked from; the scripts written for the deal.
  • Invoices: numbers, amounts, sent and paid dates, and the PDFs.
  • Agents: which agents worked on the deal, what they changed, and how many of their proposals you approved.
  • Milestones: the key moments from the deal's History.

Select Download PDF (or More → Download summary (PDF)) to save the summary as a file for your records or your accountant.

What "read-only" means

On a closed deal you can't edit the deal, its deliverables, files, contract, brief, scripts, brand review, invoices or follow-ups, and you can't add notes. Moving the card out of Paid on the pipeline is refused too.

This holds everywhere, not just on the page: agents and Poppy can't change a closed deal, Notion edits to it are not brought back, and the API refuses changes.

Some things still happen, because they don't change the record:

  • If the brand writes to you after the deal is closed, the email shows on the deal's Timeline. Pointerly doesn't read it for a payment.
  • You can still email the brand from the deal (a thank-you, a new idea).
  • You can archive the deal.

Reopening a closed deal

Mistakes happen: a deal marked paid too early, a second invoice that is still open. The workspace owner or an admin can reopen the deal:

  1. On the deal, select Reopen (on the summary card, or More → Reopen…).
  2. Say why. The reason is required.
  3. Select Reopen.

The deal becomes editable and shows Reopened with who reopened it, when and why. The same line goes into the deal's History tab, so anyone can see it later.

When you're done, select Close again. Moving the deal back to Paid or Closed lost closes it again too. Either way it's read-only again and the History records it.

Agents and Poppy can never reopen a deal.
